Compliance and regulations

The UK telephone network is changing and several regulations affect how businesses operate their phone systems. The PSTN switch-off is the most immediate: every business on copper lines must migrate before 31 January 2027. For businesses in regulated sectors, call recording obligations add a further layer of requirements.

PSTN switch-off (31 January 2027)

Openreach is closing the UK's PSTN and ISDN network permanently on 31 January 2027. After that date, all calls must travel over broadband. This is a regulatory deadline: there is no extension and no workaround for businesses still on copper lines. We handle the full migration process, including number porting, which takes up to 10 working days.

Call recording and UK GDPR

If your business records calls, the requirements are straightforward. Staff must be informed that calls may be recorded. Recordings are personal data under UK GDPR and must be stored securely. Retention periods must be defined and enforced. We configure call recording and retention settings during setup.

FCA / MiFID II (regulated firms)

Financial services firms under FCA rules are required to record and retain specific categories of telephone communication for a minimum of five years. This applies to advisers, brokers, and certain wealth management firms. UniFi Talk supports call recording and can be configured to meet FCA retention requirements. We recommend involving your compliance officer in the system specification.

Ofcom and emergency services

Ofcom regulates electronic communications services in the UK. All VoIP systems installed by Airedale Tech are configured to provide access to 999 emergency services as required by Ofcom rules. This is a non-negotiable requirement for any compliant installation. Number porting is handled in line with Ofcom porting regulations.

Common questions

How much does a VoIP system cost compared to a traditional phone system?

VoIP systems typically cost significantly less to run than traditional ISDN or PSTN lines. Once the hardware is in place, monthly call costs are lower, international calls are substantially cheaper, and adding extensions costs nothing beyond the handset. The upfront hardware investment for a UniFi Talk system is usually recovered within 12–18 months compared to continuing on a legacy phone system.

What happens to our phone calls if the internet goes down?

Calls rely on your internet connection, so if your broadband fails, internet-based calls will be affected. We can configure failover to mobile numbers so inbound calls continue to reach your team even during an outage. For businesses where telephony is critical, we recommend a 4G/5G failover router that automatically switches to a mobile connection if your primary broadband drops.

Can staff make and receive calls when working remotely?

Yes. Remote staff can use a UniFi Talk compatible desk phone connected via any broadband connection, or receive calls forwarded to their mobile number. This means your remote workers appear to callers as if they're in the office, using the same number and extension, with the same call quality. There's no need for a separate mobile number or a personal phone.

Can we keep our existing phone numbers?

Yes. Number porting transfers your existing business numbers to the VoIP system so there's no change for your customers. The porting process typically takes 5–10 working days and is managed entirely by us. Your numbers remain active throughout the transition so there is no period where calls are lost.

Do we need new phones or can we use what we have?

UniFi Talk requires compatible IP handsets. If your existing phones are SIP-compatible from supported manufacturers they may work, but the tightest integration and management experience comes from using UniFi Talk certified handsets. We supply and configure all handsets as part of the installation, and can advise on whether any existing hardware is compatible before you commit.

What is the PSTN switch-off and how does it affect my business?

BT is switching off the traditional analogue PSTN and ISDN telephone network by January 2027. After this date, all telephone lines will need to be digital or VoIP-based. If your business still uses ISDN lines, a traditional PBX, or analogue broadband with a phone line included, you will need to migrate before the deadline. We can assess your current setup and plan a migration completed well ahead of the cutoff.

Can I record calls for compliance or training purposes?

Yes. Call recording can be enabled within UniFi Talk and recordings stored for a configurable retention period. For businesses in regulated sectors or those that need to record calls for quality purposes, we configure recording alongside appropriate staff notification (required under UK law) so you have a complete and compliant record of calls.

How do I set up out-of-hours messages and call routing?

UniFi Talk supports time-based routing, so you can automatically direct calls to a voicemail greeting, a different extension, or an external number outside business hours. Hunt groups let you ring multiple extensions simultaneously or in sequence until someone answers. We configure all of this as part of the setup, and settings can be changed without technical knowledge once the system is running.

How many calls can we handle simultaneously?

The number of concurrent calls is primarily limited by your internet bandwidth rather than the hardware. Each VoIP call uses approximately 100 Kbps of bandwidth. A standard business broadband connection can comfortably support 10–20 concurrent calls. We size the system based on your peak call volumes and configure QoS to ensure voice traffic is always prioritised.

Can VoIP integrate with our CRM or helpdesk?

Many CRM and helpdesk platforms support SIP-based integrations that can trigger a screen pop when a call arrives from a known contact, log call records automatically, and enable click-to-dial from a contact record. UniFi Talk supports standard SIP, so compatibility depends on your specific CRM. We can advise on whether your current tools support this and help configure the integration.

Is VoIP suitable for businesses in areas with slower broadband?

VoIP requires a reliable broadband connection, but doesn't need to be fast. A stable connection of 5–10 Mbps is sufficient for a small team. The key factor is consistency rather than speed: jitter and packet loss cause call quality issues, whereas simply having a slower connection does not. We assess your connection quality as part of the installation process and configure QoS to prioritise voice traffic over other internet usage.

Can we set up an auto-attendant or call menu?

Yes. An auto-attendant answers incoming calls with a greeting and a menu, for example directing callers to press 1 for sales or 2 for support, and routes the caller to the right team or extension without needing a receptionist. This is included in the UniFi Talk setup and we configure the menu, greetings, and routing options as part of the installation.

What happens to voicemails?

Voicemails are stored in the system and can be accessed from the handset or the UniFi Talk management console, and optionally forwarded to an email address as an audio file. We configure voicemail-to-email delivery as standard so your team never misses a message even when away from their desk.

How do I add or remove extensions as my team grows?

Adding extensions is straightforward. Once a new handset is connected to the network, it can be provisioned and assigned an extension through the UniFi Talk management console without specialist knowledge. There's no per-seat licence fee for additional extensions on-premises. Removing or reassigning extensions is equally simple, making the system easy to manage as your team changes.

Is our call data secure?

Yes. UniFi Talk encrypts signalling and media using SRTP and TLS, so calls cannot be intercepted in transit. Access to the management console is protected by your UniFi site credentials. For businesses in regulated sectors where call data must be retained and protected, we can discuss additional security measures around storage and access control.

Do you provide ongoing support for the phone system?

Yes. We provide managed support contracts for VoIP systems covering monitoring, firmware updates, configuration changes, fault investigation, and on-site engineer visits. If a handset fails or a configuration needs changing, you contact us directly. For smaller installations we also offer pay-as-you-go support.

Can I have a single number that rings on multiple phones?

Yes. A ring group or hunt group can be configured so that an incoming call to one number rings multiple extensions simultaneously or in a defined sequence. This is useful for small teams where any member of staff might handle an incoming call, or for situations where the call should escalate through a team until someone answers.

What is the difference between hosted VoIP and an on-premises system?

A hosted (or cloud) VoIP system has the PBX managed by the provider in a data centre. An on-premises system like UniFi Talk runs the call management on hardware you control at your site. On-premises gives you more control, no ongoing per-user subscription fees, and keeps call data within your network. Hosted systems can be easier to scale but involve recurring costs and dependency on the provider's infrastructure.

Can we use VoIP for outbound sales or customer service calling?

Yes. VoIP systems are well-suited to outbound calling. Features like click-to-dial, call logging, and CRM integration make outbound teams more efficient. Call recording is also available for quality monitoring. If you have a high volume of outbound calls, we can discuss trunk configuration to ensure you have sufficient concurrent lines and optimal call routing.

What network requirements are needed to run VoIP alongside other systems?

VoIP performs best when it runs on a dedicated VLAN with QoS policies that prioritise voice traffic. This prevents file downloads, video streaming, or backup jobs from competing with calls and causing quality issues. We design VoIP alongside your data network as a single joined-up infrastructure, ensuring voice traffic is always given the bandwidth it needs regardless of what else is happening on the network.
