Airedale Tech ("we", "us", "our") is a provider of network infrastructure, CCTV surveillance, VoIP telephony, and disaster recovery solutions for businesses across Yorkshire and Lancashire and the North of England.

2. What Personal Data We Collect

We collect personal data in the following ways:

a) Contact form submissions

When you submit an enquiry through our website, we collect:

  • First and last name
  • Work email address
  • Details of your project or enquiry

b) Telephone and email contact

If you contact us directly by phone or email, we may retain records of that correspondence, including your name, contact details, and the content of your communication.

c) AI chat widget

Our website includes an AI-powered chat assistant. When you use the chat widget, we collect:

  • The content of your chat messages
  • Any contact details you volunteer during the conversation (name, email, phone number, project details)
  • A session identifier and timestamp

Chat messages are processed by Anthropic's AI API to generate responses. Contact details you provide through the chat are stored in our CRM system in the same way as contact form submissions. See section 6 for details of how Anthropic handles your data.

d) Website usage data

We may collect technical data when you visit our website, including your IP address, browser type, pages visited, and referring URL, through standard web server logs or analytics tools.

3. How We Use Your Data

We use personal data for the following purposes:

Responding to enquiries: to reply to your contact form submission, quote request, or telephone/email enquiry.
Providing our services: to fulfil contracts for network installation, CCTV, VoIP, support, and related services.
Legitimate business administration: including record-keeping, invoicing, and managing our client relationships.
Answering chat enquiries: to respond to questions submitted through our AI chat widget and, where you choose to provide contact details, to follow up on your enquiry.
Improving our website: to understand how visitors use our site and improve its content and performance.

5. CCTV Systems We Install

As part of our services, we design and install CCTV surveillance systems for our clients. Where we do so, our clients are the data controllers for any footage captured by those systems. We act as a data processor on their behalf during installation, configuration, and maintenance.

We advise all clients on their obligations under UK GDPR and ICO guidance for CCTV, including signage, retention periods, and data subject access rights. For further guidance, visit the ICO's CCTV guidance.

6. Who We Share Your Data With

We do not sell or rent your personal data. We use the following third-party services where necessary:

Anthropic: our AI chat widget sends the content of your chat messages to Anthropic's API to generate responses. Anthropic acts as a data processor on our behalf and does not use your messages to train its models. Anthropic is based in the United States — see the International Transfers section below. Cloudflare: we use Cloudflare Turnstile for spam protection on our contact form. A token is submitted to Cloudflare's servers for verification. See Cloudflare's Privacy Policy.
Google Analytics 4: we use Google Analytics to understand how visitors use our website. Analytics data is anonymised and does not identify you personally. See Google's Privacy Policy.
Legal and regulatory authorities: where we are required by law or regulation to disclose data.

All third-party services we use are required to handle data securely and in accordance with applicable data protection law.

7. How Long We Keep Your Data

We retain personal data only for as long as necessary for the purposes set out in this policy:

8. International Data Transfers

When you use our AI chat widget, your chat messages are sent to Anthropic, Inc., which is based in the United States. The UK does not have an adequacy decision covering the US as a whole. We rely on Anthropic's standard contractual and legal safeguards for this transfer. Anthropic participates in the EU-US Data Privacy Framework and maintains appropriate technical and organisational measures to protect personal data. All other personal data we collect is stored and processed on servers located within the United Kingdom.

9. Your Rights Under UK GDPR

You have the following rights in relation to your personal data:

Right to erasure

Request deletion of your data where we no longer have a lawful basis to hold it.

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our website uses HTTPS encryption, and contact form submissions are protected by Cloudflare Turnstile spam filtering.

However, no method of transmission over the internet is completely secure. If you have concerns about the security of information you have shared with us, please contact us immediately.

You can control cookies through your browser settings. Disabling analytics cookies will not affect your ability to use the website.
